Abstract submission 

Awards will be provided to the best student presentations 

Presentations, COVID-19, and Attendees Guidelines 

Oral Presentation

A computer will be provided by Symposium organizers. You will be informed how presentations should be sent shortly. All questions or inquiries should be addressed to your presenting section’s program chair. 

Preparing Your Presentation: 

  • Time for the presentation is XXX minutes.

  • Presentations will be submitted online, more information to follow.

  • Microsoft PowerPoint® 2010 or later is highly recommended. Other versions of PowerPoint and programs may be difficult to support at the conference. If the current version of Microsoft products is used to create the presentation, save the file as a PowerPoint “.pptx” version. If using MS Word, save the document as a “.docx” file (extension).

  • . Avoid using fonts that project poorly. 

  • Use as large a font as possible and fill the screen. Anything less than 24 is too small. Suggested font sizes are Titles:  48-54, Main text titles:  32, Smallest text lines:  24.  

  • Avoid the use of commercial messages (e.g., logo), and video and audio clips unless requested previously in the abstract submission.

  • Save your presentation on a USB flash or jump drive, just in case. Always test your presentation on another computer to verify file compatibility, layout, and style.

Poster Presentation

  • Posters should be the following dimensions: maximum width 3 feet

  • Presenting authors are asked to have their posters ready for display at 1:00 p.m. for viewing. 

  • Poster Hall will be open at 12:00 p.m. for set up.

  • Presenters should be available at their poster for any questions.

  • Posters should be removed by 4:00 pm.

  • Extensive narratives are not necessary. Short “bulleted” statements are preferred. 

  • All types should be a minimum of 14pt and readable from 3 – 4 feet. Use standard type styles (e.g., Arial, Helvetica, Times New Roman).

  • Materials will be provided for you to hang your posters

 

COVID Guidelines

We know that deciding whether to attend in person is a weighty decision. We will follow all available guidelines and recommendations from the CDC and local and state health authorities. Currently, Albany is following guidance from the state. Please visit the New York State Covid website for updates.

Therefore, while at this symposium we ask you uphold the following Guidelines:

  • Non-cloth masks are strongly encouraged.

  • Respect all attendees regardless of their decision to wear a mask.

  • Wash hands regularly

 

Notice of filming and photography

When you enter the Second Annual New York State Capital Region Applied Spectroscopy symposium, you enter an area where photography, audio, and video recording may occur. By entering the event premises, you consent to the photographer(s), photography, audio recording, video recording and its/their release, publication, exhibition, or reproduction to be used for news, web casts, promotional purposes, telecasts, advertising, inclusion on websites, social media, or any other purpose by the New York State Capital Region Society for Applied Spectroscopy (NYCRSAS) student chapter and its affiliates and representatives.

Images, photos and/or videos may be used to promote similar NYCRSAS events in the future, highlight the event and exhibit the capabilities of NYCRSAS. You release NYCRSAS, its officers and employees, and each and all persons involved from any liability connected with the taking, recording, digitizing, or publication and use of interviews, photographs, computer images, video and/or or sound recordings.

By entering the event premises, you waive all rights you may have to any claims for payment or royalties in connection with any use, exhibition, streaming, webcasting, televising, or other publication of these materials, regardless of the purpose or sponsoring of such use, exhibiting, broadcasting, webcasting, or other publication irrespective of whether a fee for admission or sponsorship is charged. You also waive any right to inspect or approve any photo, video, or audio recording taken by NYCRSAS or the person or entity designated to do so by NYCRSAS. You have been fully informed of your consent, waiver of liability, and release before entering the event.
